When we set out to build YosiFlow, we weren’t thinking about technology first; our focus has been people who use the software with ERP and live in the daily grind of order processing, payables, and ERP lookups. Our End users are Accountant, Sales Clerk, Order entry person and the controllers and operation manager told us their reality.

Too much time wasted searching, matching, and fixing ERP data!

So we listened.

The Problem: Manual Search and Validation

In our early pilot days, we saw a pattern:

• nearly 30% of customer/vendor lookups required manual searching and matching.

• ERP data was never clean and current, yet fixing data was not easy, Thanks to the data governance and procedures.

ERP users have to hunt for the right customer, Vendor with a different name in this complex system, validate distribution center addresses, or double-check items against internal codes. This not only slowed down process cycles but also introduced unnecessary risk of error. We knew we had to eliminate that friction.

Instead of endless scrolling or guessing, YosiOrder & YosiBill uses weighted ranking to bring the right third party customer or vendor name to the top of the list. Parent company? Sub-store? Distribution center? It’s all recognized automatically. Users simply confirm, rather than search.

2. Item Matching at a Glance
Every extracted item is displayed with its corresponding NetSuite code right next to it — no extra clicks needed. If there’s a mismatch, YosiFlow flags it instantly using universal traffic-light colors (green for good, amber for review, red for action).

3. Intiutive Data match logic - 30% improvement
What once required constant manual lookup now happens automatically. With YosiFlow, that 30% of manual effort is reduced to quick validations, cutting cycle times and giving teams their hours back.

4. Precision Without Complexity
Behind the scenes for CIO and technical readers, YosiFlow applies advanced logic — phonetic similarity, multi-key matching, even embeddings and cosine similarities, but the user never has to see it.

To our customers, it just feels simple: the right match, surfaced first.

The bill appears in the system with vendor and items already matched. Exceptions are flagged in red, approval routing is auto-applied, and the clerk confirms in under 2 minutes.

Why This Matters

We refined YosiFlow’s UX to cut down user effort — the system now auto-highlights the best match with supporting metadata, shows ERP and extracted PO codes side-by-side for quick scanning, and uses simple traffic-light indicators to instantly flag issues. This makes validation faster, clearer, and more reliable for everyday users; everything clear data driven, no AI black-box problem!

ERP users don’t want more dashboards or complex rules to maintain that is un-auditable. They want clarity, speed, and trust in the system. That’s why YosiFlow was built as a plug-and-play ERP AI companion — refining the flow of data so the rest of the ERP works as intended.
